Privacy Policy

United ELD (“United ELD,” “we,” “us,” or “our”) provides electronic logging device (ELD) and fleet‑management services (the “Services”), including our websites, mobile applications, ELD hardware, and web dashboards (collectively, the “Platform”). This Privacy Policy explains what personal information we collect, how we use and share it, and the choices you have.

By using the Platform, you agree to this Privacy Policy and our Terms of Service. If you do not agree, please do not use the Platform.

1) Scope & Roles

This Privacy Policy applies to information we collect about: (a) drivers and co‑drivers using the United ELD mobile app and hardware; (b) carrier administrators, dispatchers, and other users of the web dashboard; and (c) visitors to our websites.

When a carrier (your employer or contracting motor carrier) provides you access to the Platform, the carrier is typically the business customer and controller of driver data. United ELD processes that data on the carrier’s instructions to provide the Services.

2) Information We Collect

Exact data elements depend on the features you use and your company’s settings.

A. Account & Contact

  • Name, email, phone number, password (hashed), company name, role/permissions, USDOT number, time zone, preferred language.

B. Driver & Vehicle / ELD Data

  • Duty status events (RODS/HOS) and annotations.
  • Engine‑synced data: VIN, engine hours, odometer, motion, speed flags, diagnostic/malfunction events.
  • GPS/location (including background location) and timestamps; vehicle/trailer/shipment information; geofence arrivals/departures.
  • DVIR: pre/post‑trip inspections, reported defects, photos, repairs, certifications.
  • IFTA: jurisdictional mileage and fuel entries.
  • Document uploads (BOLs, receipts, photos/notes).

C. Device & Usage

  • Device model, OS/version, app version, unique device IDs, browser type, IP address, crash logs, diagnostics, date/time stamps, and interactions with the Platform.

D. Communications

  • Support tickets and call/chat recordings, email or in‑app messages, optional SMS (see §9).

E. Cookies & Similar Technologies

We use cookies, SDKs, and similar technologies on our websites and in the app for authentication, preferences, analytics, and security. You can manage cookies through your browser settings and, where offered, our cookie banner.

Permissions: Depending on your device and configuration, the app may request access to Location (foreground/background), Bluetooth, Camera, Photos/Files, and Notifications to deliver core functionality (e.g., engine sync, document upload, inspection sharing). Disabling permissions may limit features and affect compliance.

3) How We Use Information

  • Provide, operate, and maintain the Platform (engine‑synced logging, HOS timers).
  • Support roadside inspections (read‑only log view, secure electronic transfer).
  • Process DVIR, IFTA, geofence, and trip data; generate/export reports (PDF/CSV).
  • Configure users, roles, and company policies (e.g., PC/Yard limits).
  • Detect and remediate safety issues, fraud, and abuse; enforce our terms.
  • Provide support and communicate service notices and updates.
  • Analyze usage and improve the Platform, including new features.
  • Comply with applicable laws and respond to lawful requests.

Background Location: To maintain continuous, accurate logs and jurisdictional mileage, the app may collect location data even when the app is closed or not in use. Disabling background location may impair HOS/IFTA functions.

4) Legal Bases (where applicable)

Where required (e.g., EEA/UK), we process data based on: (i) performance of a contract, (ii) legitimate interests (safety, security, analytics), (iii) legal obligations (e.g., FMCSA recordkeeping), and/or (iv) consent (e.g., optional SMS).

5) How We Share Information

We do not sell personal information. We share data:

  • With your carrier/employer (admins/dispatch can view/manage fleet data).
  • With service providers (hosting, analytics, crash reporting, messaging/SMS, maps, support tools, payments) under contracts that restrict use.
  • For compliance & legal (e.g., FMCSA, law enforcement) to meet legal obligations or support inspections/audits.
  • For business transfers (merger, acquisition, financing) with customary safeguards.
  • At your direction (integrations you connect, requested exports).

6) Retention

We retain Records of Duty Status (RODS) and supporting documents for at least six (6) months, as generally required by FMCSA, and longer where your carrier’s policy or law requires. Other data is kept as long as needed for the Services, to resolve disputes, and meet legal duties. When no longer needed, data is deleted or de‑identified; backups may persist for a limited period.

7) Security

We use commercially reasonable safeguards (encryption in transit, access controls, logging, monitoring). No method of transmission or storage is 100% secure.

8) Your Choices & Rights

  • Access/Update/Delete — Request access, correction, or deletion (subject to legal retention). Drivers should first contact their carrier admin; you can also contact us directly.
  • Marketing — Opt out via the unsubscribe link.
  • Cookies — Control via your browser and cookie banner.
  • California (CPRA) — Residents may request to know, delete, or correct data, and opt out of “sale” or “sharing” for cross-context advertising. United ELD does not “sell” PI.
  • EEA/UK — You may complain to your local data protection authority.

9) SMS Messaging (Optional)

If you opt in, we collect your phone number (and, if provided, name) to send service-related texts (alerts/notifications). Opt out by replying STOP; reply HELP for assistance. Message/data rates may apply; frequency varies. We do not share SMS consent or numbers with third parties for their marketing.

10) Children’s Privacy

The Platform is intended for commercial drivers and is not directed to children under 13. If you believe a child provided information, contact us and we will delete it.

11) Third‑Party Links & Services

Our Platform may link to third-party websites or include third-party SDKs (maps, analytics, crash reporting, app stores). Their privacy practices are governed by their own policies.

12) International Transfers

We are based in the United States. If you access the Platform from outside the U.S., your information may be transferred to, stored in, and processed in the U.S. or other countries where we or our vendors operate.

13) Changes to this Policy

We may update this Policy from time to time. The “Last Updated” date reflects the latest changes. For material updates, we may provide additional notice within the app or by email.
